Note: In the event of any discrepancy or ambiguity between the language versions of these terms and conditions, the Dutch (Nederlandse) version shall prevail.

Article 1 – Scope

These general terms and conditions apply to every offer, quotation and agreement for products and services provided by Bazaar Trottoir or Bazaar Trottoir vzw (hereinafter "Bazaar Trottoir"). The customer's own general terms and conditions are expressly excluded.

By confirming a booking – through signing a quotation, paying a deposit, or written or verbal confirmation – the customer accepts these terms and conditions. Following each confirmation, Bazaar Trottoir sends a written booking confirmation.

Article 2 – Quotations

Quotations are non-binding and expire after 30 calendar days, unless stated otherwise. Bazaar Trottoir reserves the right to refuse assignments without giving a reason, or if the timing is not respected.

Reservations with external partners (company visits, restaurants, catering, etc.) are only made after the customer's approval.

Article 3 – Booking Confirmation

After acceptance of the quotation by the customer, Bazaar Trottoir sends a booking confirmation. This confirmation is binding on both parties.

Article 4 – Price and Payment

The price is the price stated on the quotation or booking confirmation.

Deposit and final payment

For walks involving catering, snacks or external reservations, a deposit is required as stated on the quotation. The remaining amount is invoiced after the walk. Deviations from the deposit arrangement can be agreed upon, for example when an organisation’s internal procedures require this.

Payment method

  • Companies and organisations receive an invoice, payable within 14 days of the invoice date, unless otherwise agreed.

  • Private individuals receive a payment request.

Late booking

For bookings placed less than 7 days before the event, an administrative fee of €50 (excl. VAT) applies.

Confirmation of participant numbers

The final number of participants must be confirmed no later than 7 working days before the event. For walks with catering or snacks, this is a hard deadline due to our partner reservations. Any change to the number of participants after this deadline incurs an administrative fee of €15 (excl. VAT) per change.

Late payment

In case of late payment, interest of 7% per started month is due by operation of law and without prior notice of default, together with a lump-sum compensation of 15% of the invoice amount (minimum €250), in addition to the principal sum, interest and legal costs.

Disputes

Disputes must be reported by email to hello@bazaartrottoir.be within 5 working days of receipt of the invoice, failing which they are inadmissible.

Article 5 – Cancellation by the Customer

Bazaar Trottoir approaches every situation with common sense and takes into account costs already incurred. Cancellations must be notified in writing by email to hello@bazaartrottoir.be.

Walks without external reservations

  • Up to 14 days before the event: free cancellation

  • Less than 14 days before the event or no-show: 100% of the invoice amount

Walks with external reservations (company visits, catering, restaurants, etc.)

  • Up to 14 days before the event: any costs incurred by partners may be passed on

  • From 14 days before the event or no-show: 100% of the invoice amount, calculated on the last confirmed number of participants, with a minimum of 10 persons

Individual registrations (public walks)

  • Up to 14 days before the event: full refund

  • Less than 14 days before the event or no-show: 100% – the ticket may be transferred to another person or converted to another walk

The statutory right of withdrawal (art. VI.53, 12° WER – Belgian Code of Economic Law) does not apply to leisure activities on a specific date.

Article 6 – Cancellation by Bazaar Trottoir

Bazaar Trottoir may cancel an event in case of force majeure, insufficient registrations or circumstances beyond its control. This is always done in consultation. In that case, an alternative date, an alternative offer or a full refund will be provided.

Article 7 – Late Arrival

Our guides wait a maximum of 20 minutes for the group. After that, this will be treated as a no-show. In case of delay: contact us by SMS or WhatsApp at +32 487 26 70 08. We are not always reachable by phone during walks – a missed call does not constitute notification. We will assess what is still possible, but a full program cannot always be guaranteed.

Article 8 – Code of Conduct

Participants behave respectfully towards the guide, other participants, local residents and visited locations. They follow the guide’s instructions, particularly in situations that may affect the group’s safety.

At locations with their own house rules (buildings, shops, institutions), these rules are respected. The guide will explain them where relevant.

The guide reserves the right to deny further participation to participants who seriously disturb order or endanger safety. In that case, no refund is due.

Minors participate under the supervision of a responsible adult (parent, teacher or guardian), who is responsible for their behaviour and safety throughout the entire activity.

Article 9 – Photos and Videos

Participants may take photographs for personal use, unless the guide or the visited location indicates otherwise. Recordings for commercial or public use require prior written permission from Bazaar Trottoir.

Bazaar Trottoir may take photos or videos during events for promotional purposes. Publication mentioning the company or group name on our channels (website, social media) only takes place after written consent from the customer.

Article 10 – Intellectual Property

All Bazaar Trottoir content – texts, photos, logos, names, routes, designs – is protected by intellectual property rights. Use without prior written permission is prohibited.

Article 11 – Privacy

Bazaar Trottoir processes personal data in accordance with the GDPR (General Data Protection Regulation). Data is used solely for customer management, administration and communication. Further information is available in our privacy policy.

Article 12 – Liability

Participation in Bazaar Trottoir walks is at the participant’s own risk. Bazaar Trottoir is not liable for accidents, theft or damage during an event, unless caused by intentional misconduct or gross negligence on the part of its staff. Our liability is in all cases limited to the amount stated on the relevant quotation (excl. VAT).

Article 13 – Force Majeure

In case of force majeure, Bazaar Trottoir may suspend its obligations or terminate the agreement without compensation. Force majeure includes, among other things: extreme weather conditions, strikes, pandemics, fire, power outages or partner failure. Amounts already paid will be refunded in that case.

Article 14 – Severability

If any provision of these terms and conditions is found to be invalid or unenforceable, this does not affect the validity of the remaining provisions.

Article 15 – Applicable Law and Jurisdiction

Belgian law applies. In case of disputes, only the courts of the judicial district of Bazaar Trottoir’s registered office have jurisdiction.
